Volunteering with Hilo ASYO

ʻAʻohe hana nui ke alu ʻia  -  No task is too big when done together by all!

Hilo AYSO relies on Parents/Grandparents/Uncles/Aunties to be Coaches and Referees for our keiki. We are a community helping players grow and connect through sport. We need one volunteer for every five players.

Hilo AYSO is an all-volunteer organization. This means that the Coaches, Referees, and Board Members are all volunteering their time and expertise to get players on the field. It also means that AYSO has great training materials and a simple volunteer process to keep kids and parents safe. In this part of the email, you will learn how to volunteer with Hilo AYSO and support your players!

Volunteer Roles

Every family in Hilo AYSO is needed to engage and participate. Some of these roles are “registered” - Board Members, Coaches, and Referees - and the rest are team roles that are filled when you meet your team for the first time.

Register on the website for these roles:

Coaches - Every team has 2 coach positions. Coaches are responsible for their team. Coaches coordinate and plan practices, and decide who is playing on the field during the game in order to ensure all players have adequate field time. AYSO has resources to support new coaches - no experience necessary!
Referees - In our older Divisions, Referees monitor play and score the game, calling penalties as needed. AYSO has online training and support for new Referees, too, so you will be ready to ref your first game.
Board Members - Without Board members, we have no organization. Board members ensure that fundamental processes happen so that keiki can play soccer together, season after season. The Hilo AYSO Board is currently seeking to fill multiple positions, with future opportunities as players age up. To learn more, email [email protected].

Be ready to volunteer for these roles on your team:

Team Parent - Team parents help during practices by maintaining team communication and setting up equipment so that coaches can focus on their players. Be ready to tell your coach how you can help - maybe you want to take photos or set up the end-of-season celebration for your players.
Brings the Tent - A place to recharge after each quarter makes a difference to our players, and having one family commit to bringing the team tent means that this protection will never be in question.
AYSO Core Support - Support teams help the Board with Field Maintenance, Equipment Management, and Communications by working with a Board member to complete organizational tasks. Every team should contribute one volunteer who helps the Hilo AYSO organization. This role is a good choice if you need a flexible time commitment. To learn more, email:
[email protected] for the Equipment Management Team
[email protected] for the Fields Maintenance Team
[email protected] for the Communications Team

Registered Volunteers - Getting Started

When you log into your ayso274.org account, you can sign up to be a Coach or Referee. 8U to 15U Divisions need Referees for their games.

If you are interested in joining the Board, please email [email protected]. Currently, the Board is seeking a Secretary, Communications Director, and Events Coordinator. We will also be filling a couple Division Coordinator positions - Division Coordinators are responsible for setting teams and games for their Division, and also have a vote on the Board. Do not “register” to volunteer as a Board Member until you have been appointed in.

Because registered volunteers are working with our keiki, you will be asked to complete a background check. Once you complete this step, you will have access to the AYSO University's online courses. The Background Check process is free to you, paid through our Region.

Another way AYSO keeps players and volunteers safe is by providing free quality training resources that are easy to use for new volunteers. Safety Certifications need to be retaken each year to ensure that volunteers are up-to-date with the latest standards. These courses are necessary so coaches have an understanding of field safety for kids and can recognize common sports injuries. Beyond that, coaches can use the online resources to better understand their age group and plan practices - even if you have never played soccer, you can get our players moving on the ball.

The AYSO Promise

AYSO plays by 6 philosophies which guide our decisions as a board and our actions on the field.

Open Registration: Everyone who registers is placed on a team. There are no tryouts.
Balanced Teams: Teams are scrambled each season to be as balanced as possible.
Everyone Plays: Every player who attends a game will get time on the field.
Positive Coaching: Coaches focus on what players do well.
Player Development: Coaches have the resources to help players improve on the field.
Good Sportsmanship: Everyone plays their best game, and teams support each other.

Email Communication

Emails are the main form of communication for Hilo AYSO. With more than 20 organizers, 30 referees, 120 coaches, and 600 players each season we work hard to make sure everyone has access to the information they need. This may mean seeing the same information 2 or 3 times as new players and volunteers join our organization; please read through each email as new information can be added as the season progresses.
